General Terms and conditions

Austrian Space Days 2026


Event

These terms and conditions refer to the Austrian Space Days 2026, organized by accent Inkubator GmbH | ESA Phi-Lab Austria. The venue is the Vienna Airport Conference Center, Office Park 4 / Towerstraße 3, 1300 Vienna Airport, Austria. The date is 14–15 October 2026 according to the booking form and folder.


A. General Terms and Conditions for Exhibitors / Sponsors / Companies


1. Scope of Application

These General Terms and Conditions apply to all exhibitors, sponsors and companies who book an exhibition space or comparable visibility service as part of the Austrian Space Days 2026.

Deviating terms and conditions of the exhibitor do not apply, even if they are not expressly contradicted.

These visitor conditions apply to all visitors to the Austrian Space Days 2026. In particular, they should transparently regulate access, behaviour, security, data protection, photo/video recordings, liability and domiciliary rights.

Participation in the Austrian Space Days 2026 is free of charge according to the available event documents. Nevertheless, registration, access and participation create legal obligations and protective measures.


2. Basis of the contract

The contractual basis is the signed Booking Form, these Exhibitor Terms and Conditions, the house rules of the venue and expressly agreed additional services.

The specific service results exclusively from the booking form and written additional agreements.


3. Conclusion of Contract and Rejection of Bookings

The contract is only concluded by written confirmation or invoicing by the organizer.

The Organiser may refuse bookings for organisational, security, compliance or reputational reasons.


4. Use of the exhibition space

The exhibition space may only be used for the agreed purpose and within the allotted times.

Passing on or subletting to third parties is not permitted without prior written consent.

Advertising and marketing measures outside the allocated area require prior written consent.


5. Construction, dismantling and technical specifications

Set-up and dismantling will take place exclusively in the time slots set by the organiser.

The exhibitor is responsible for stable construction, professional cable routing, removal of packaging and compliance with technical specifications.

Items that have not been removed may be removed, stored or disposed of at the expense and risk of the exhibitor.


6. Safety, fire safety and compliance

The exhibitor must comply with all legal, regulatory, safety, fire protection, export control, sanctions, data protection, product and trade regulations.

The organizer may demand the removal of illegal, security-critical or reputation-damaging content, products or exhibits.


7. Insurance

The exhibitor must take out appropriate business, property and organiser liability insurance and provide proof of this on request.

The insurance is intended to cover personal injury, property damage, equipment, exhibits, rental space and building damage.


8. Liability of the Exhibitor

The exhibitor is liable for damages caused by him, his employees, agents, subcontractors, guests or other persons attributable to him.

The exhibitor shall indemnify and hold the organiser harmless from claims by third parties arising from his stand, his products, services, materials or his conduct.


9. Liability of the organizer

The organizer is only liable in the event of intent or gross negligence. Liability for slight negligence is excluded to the extent permitted by law.

Liability for personal injury remains unaffected.

Liability for indirect damages, consequential damages, loss of profit, travel, accommodation, transport or marketing costs is excluded to the extent permitted by law.


10. Cancellation, postponement and force majeure

The organizer can cancel, postpone, postpone or hold the event in a different format for good cause.

Important reasons include, in particular, official requirements, safety concerns, unavailability of the venue, airport or traffic restrictions, technical or infrastructural disruptions, insufficient economic viability and force majeure.

Force majeure is considered to be extraordinary, unforeseeable and unavoidable events beyond the control of the organiser, in particular natural disasters, fire, epidemics, pandemics, war, terrorism, civil unrest, strikes, failures of critical infrastructure as well as airport or venue closures.


11. Photo, film and sound recordings

The exhibitor acknowledges that photo, film and sound recordings can be made during the event and used for documentation, press work, public relations and advertising of comparable follow-up formats.

Own professional photographs by the exhibitor require prior written consent, provided that they go beyond the usual stand documentation.


12. Trademark Rights and Intellectual Property

The exhibitor does not receive any rights to the names, brands, logos, domains or other distinctive signs of the organizer, the Austrian Space Days, ESA Phi-Lab Austria, ESA or cooperation partners.

The use of such labels is only permitted with the prior written consent of the respective entitled party.


13. Data protection

The organiser processes personal data of the exhibitor and his contact persons for the purpose of making the booking, organising, invoicing, communication, access management, documentation and fulfilling legal obligations.

The exhibitor informs its employees and contact persons about the processing of their data. In the final version, a link to the privacy policy must be included.


14. Advertising tax and taxes

Insofar as services are to be classified in whole or in part as services subject to advertising tax, the legally owed advertising tax will be offset additionally or shown in the price.


15. Exclusion of the Exhibitor

The organizer may exclude exhibitors if they violate these terms and conditions, legal regulations, safety requirements or official requirements or endanger the orderly course or reputation of the event. In the event of an exclusion for which the exhibitor is responsible, there is no entitlement to a refund.


16. Applicable law and jurisdiction

Austrian law shall apply to the exclusion of the conflict of law provisions of private international law and the UN Convention on Contracts for the International Sale of Goods.


17. Final provisions

Should individual provisions be or become invalid, the validity of the remaining provisions shall remain unaffected. Changes and additions must be made in writing, unless mandatory law provides otherwise.


B. Visitor Information and Conditions of Participation


1. Access and Registration

Access requires prior registration, accreditation or access control. The organizer may request the presentation of an ID or confirmation if this is necessary for security or organizational reasons.

There is no entitlement to access if there are security-related, capacity-related, organizational or reputation-related reasons to the contrary.


2. Domiciliary rights and conduct

Visitors must follow the instructions of the organizer, the venue, the security service and other authorized persons.

In particular, disruptive, endangering, unlawful, discriminatory or reputation-damaging behaviour, the bringing of dangerous objects and any action that may impair the safe running of the event are inadmissible.

The organizer can exclude visitors from the event in the event of violations.

Animals are prohibited. Assistance dogs and partner dogs for disabled people are excluded. The assistance dogs must be kept on a leash and must wear a muzzle.

When attending the event, the regulations in the airport's house rules and the airport's general terms and conditions apply, unless otherwise specified in this visitor information.


3. Security, escape routes and emergencies

Visitors must keep escape routes, emergency exits, safety areas, fire protection equipment and escape routes clear.

In the event of an emergency, the instructions of the organizer, the venue, the security personnel and the emergency services must be followed immediately.

Children, accompanied minors or particularly vulnerable persons should only participate if this is organisationally planned and safely possible.


4. Exhibition Area

The exhibition area includes exhibitors' stands and presentation areas. Visitors must handle exhibits, equipment, presentation materials and technical equipment with care and may only touch or use them with the consent of the respective exhibitor.

Cables, technical systems, standing materials and separate areas may not be entered, changed or impaired.


5. Photo, film and sound recordings

As part of the event, photo, film and sound recordings can be made by the organiser, commissioned service providers, media partners or accredited press representatives.

These recordings can be used for documentation, press and public relations, reporting and advertising of the Austrian Space Days as well as comparable follow-up formats.

Visitors who do not wish to be photographed or filmed should contact the designated contact persons on site. As far as possible, appropriate organisational measures will be taken.

Own professional photo, film, sound, radio or TV recordings require the prior consent of the organizer, provided that they go beyond private or usual social media documentation.


6. Data protection

The organiser processes personal data of visitors in particular for registration, access control, communication, event organisation, security organisation, documentation and fulfilment of legal obligations.

7. Catering and allergens

If food or drinks are offered, these can be provided by external service providers. Information on allergens and ingredients must be obtained from the respective provider or at the designated distribution points.

Visitors with allergies, intolerances or special dietary requirements are obliged to obtain appropriate information before consumption.


8. Cloakroom, luggage and personal belongings

Visitors are responsible for personal belongings, technical equipment, luggage and valuables. The liability of the organizer for loss, theft or damage is excluded to the extent permitted by law.

Lost property can be handed in to the organizer or venue in accordance with the organizational possibilities.


9. Liability

The organizer is only liable for damages to visitors in the event of intent or gross negligence, insofar as legally permissible. Liability for personal injury remains unaffected.

Visitors are liable for damage that they culpably cause to the venue, exhibition stands, technical facilities, exhibits or property of third parties.


10. Accessibility and support

The organizer strives to ensure that the event is held safely and accessible. Visitors in need of support should contact them in good time as part of the registration process or on site so that organisational support can be provided if possible.


11. Changes to the Program

Program, speakers, schedule, room allocations and individual contents may be changed for organizational, security-related, official or other factual reasons. There is no entitlement to the implementation of individual programme items.


12. Applicable law

Austrian law shall apply, unless mandatory provisions provide otherwise.


13. Final Provision

There are no oral ancillary agreements. All ancillary agreements must be made in writing.
